Details

Administrative support duties will include, but are not limited to, the following:

  • Pro-actively managing a complex executive calendar that includes scheduling meetings and travel, video conferences and group events.
  • Assisting with developing and updating PowerPoint presentations, Excel spreadsheets and other documents.
  • Preparing meeting materials including assisting with the creation of presentations, handouts and other related materials.
  • Drafting and typing correspondence, making copies, preparing binders, answering and directing inquiries to the proper party within the team.
  • Facilitating and coordinating communications and administrative procedures across the team.
  • Coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements;
  • Placing and screening telephone calls and answers queries with discretion.
  • Making worldwide travel arrangements (airline, hotel reservations and processing country visa) for the Executive Director.
  • Potentially, inputting financial data and performing basic analysis.
  • Providing back up assistance to other administrative support team members where needed.

Education and experience:

  • A relevant education (minimum HBO/Havo), a certificate/diploma in a relevant professional field.
  • 3-5 years experience in an administrative environment.
  • 2-4 years experience in supporting a senior executive in a fast paced environment.
  • Must be an independent worker, proactive and solution oriented, looking for ways to value and assist the Executive Director.
  • Demonstrated ability to multi-task and prioritise work with a strong attention to detail.
  • Be flexible, sensitive to cultural diversity, and integrate well in a busy, friendly environment.
  • Experience in working with confidential information.
  • Strong verbal and written communication skills, fluent in English both in writing and verbally.
  • Customer service-focused with an ability to work collaboratively with others.
  • Must demonstrate a positive and helpful attitude.
  • Expert level knowledge on Microsoft products including Excel, Word, Powerpoint and Outlook.
  • Ability to navigate web/email and find information quickly.
